What HiyaGuest collects, why, and how it's deleted.

What we collect

From hosts: an account email, and the property details you configure — property name, location (ZIP code or city, used for weather, tides, sunrise, and local events), Wi-Fi name and password, welcome and check-out notes, your house guide, and your name and contact for guest referrals. From your booking calendar (connected or entered by hand): guest names and stay dates — that's how the panel greets your guest by name. We also keep basic device records (a device ID) so your console can identify your panel. The panel, the host console, and the guest pages don't collect device location or contacts and carry no advertising or analytics trackers — advertising and analytics measurement exists only on this marketing website, described below.

Guest questions — voice and typed

The panel's microphone listens only while the ask button is physically held — there is no wake word and no always-on listening. The recording is sent to our server, transcribed, and answered from the host's house guide; we don't build voice profiles, we don't use recordings for advertising, and audio is not retained after the question is answered. The text of the question and the reply is kept and is visible to the host, linked to the reservation it was asked during, so the host can correct a wrong answer and fill gaps in their house guide. This is deliberate: the panel takes the place of texting the host, and those questions would have reached the host anyway. Because the panel has one button and no sign-in, a question is tied to the stay, not to a named individual — we cannot tell which member of a party asked, and we don't try to. Hosts can delete a stay's questions at any time. Guests don't create accounts. If you'd like the questions from your stay removed, contact us and we'll delete them. The panel's rotation points guests to hiyaguest.com/guest, which explains this before anyone asks anything.

Typed questions on a stay's Pocket Concierge page follow the same policy — no audio is involved, and the text of the question and reply is kept, linked to the stay, and visible to the host, exactly as above. Each Pocket link is minted for one stay and stops working after checkout. The Pocket page says all of this right under its ask box.

How it's used and shared

We share data only with the service providers that run HiyaGuest: OpenAI transcribes voice questions, generates answers from the host's house guide, and produces the spoken reply (it receives the audio and the house guide, not the guest's identity); Open-Meteo provides weather and sunrise times (it receives only the property's location); NOAA provides tide times; local events come from public city feeds (no personal data is sent); and Resend delivers our email. Payments are processed by Stripe — card details never touch our servers. We don't sell personal information.

Guests at inns and hotels

Some properties running HiyaGuest are small lodging businesses rather than vacation rentals. Everything above applies the same way, with the property in the host's seat: the property controls what guest information the panel shows, we process stay details on the property's behalf to run the service, and the questions guests ask are kept and visible to the property exactly as described above. The property is responsible for any notice to its guests that its jurisdiction or its own policies require. Staff members who use the property's dashboard are users of the property's account, and we process their name and contact details to operate it.

This website and advertising

hiyaguest.com — the marketing site you're reading now — uses two measurement tools. The Meta Pixel, a small piece of code from Meta (Facebook/Instagram) that sets cookies and tells Meta which of our pages you visited and whether you started or completed an order; we use it to measure our ads and reach people who've shown interest in Hiya, and Meta receives your device and browsing information under its own privacy policy. And Google Analytics, which counts visits and tells us which pages people read and which links they follow, so we can tell whether our advertising reaches anyone; Google receives your device and browsing information under its own privacy policy.

Both exist only here, on this marketing website. The host console, the guest pages, the pocket concierge, and the panel itself carry no advertising or analytics trackers of any kind — not a pixel, not an analytics tag, nothing. Nothing a guest asks a panel is ever used for advertising, and no page tied to a particular stay is ever reported to an advertising or analytics company.

To opt out: use Meta's ad preferences, Google's Analytics opt-out add-on, the industry opt-out at aboutads.info, or block third-party cookies in your browser — the site works exactly the same without them.

Deletion

Booking data ages out with the stay it belongs to, and you can edit or remove property details anytime in the portal. To delete your data or account entirely, contact us below.
